It's important to store your documents in relevant document classes. Every class might have a different set of keys"

1. to Indentify the document correctly
2. to minimize storage space required for meta-data

In order to create a new document class, select a drop-down menu of the "Settings" button.

Logically name the document class, for example Application forms, Client Correspondence, My Pictures, etc. There are a number of reserved words, such as Date, Time, however, if the illegal word is used, you will be prompted and the class creation will be aborted.

Click Next button

You can now create the keys, which will identify every document. The data populated into the keys is called META Data of the document. For example "Event Name", "Date of the event", etc.

To create a new key, select the "New" button. The following dialog appears

  • Key Name - Logical name of the key: Event Name
  • Data Type - Selection of Text, Date and Numeric values allowed
  • Length - Maximum length allowed for data entry
  • Required - The value must be provided if this check box is selected
  • Unique Values - The field can only contain unique values, can be used for Invoice Number for example
  • List of Values - Create a drop-dow list

    You can move the key positioning by pressing "U" and "D" buttons.

    Grant permissions

    This option is created for multi-user environment, which is not offered in this release.
